Step 1: Initial Inquiry

The callback is 10–15 minutes: we ask about the building, the tenant mix, the current cleaning situation if any, and the timeline. No obligation, no sales pitch beyond understanding whether we're the right fit.

Step 2: Building Walkthrough

For buildings over 5,000 sq ft, we schedule a walkthrough with you or your facilities contact. The walkthrough takes 30–45 minutes. We document every common area, every surface type, any special conditions (historic flooring, medical-grade requirements, restricted-access areas), and your specific concerns. We ask you to walk us through a typical complaint scenario — what the restroom looks like when tenants call you — so we understand the baseline you're working against.

Step 3: Written Scope and Proposal

Within two business days of the walkthrough, you receive a written scope of work and a fixed-price proposal. The scope documents every area covered, every surface type and cleaning method, every frequency, every supply item included, and the crew assignment and escalation contacts. You review it, request any changes, and sign off before a crew sets foot in the building. There are no verbal agreements in our program — if it isn't in the scope document, it isn't a commitment either direction.

Step 4: Crew Assignment and First Clean

The crew assigned to your building receives the signed scope before their first shift — not a verbal briefing, the actual document. The lead crew member does a scope review walkthrough of the building on the first service date, confirming every area against the written scope. If anything doesn't match — a floor that was missed in the walkthrough, a restroom core that was added — they note it and it comes back to you for scope amendment, not informal adjustment.

Step 5: 30-Day Check-In

At 30 days, we schedule a check-in call. We review any tenant complaints you received (or didn't), any scope items that need adjustment based on actual conditions, and any supply items that came in under or over par. We amend the scope in writing if anything changes. The 30-day check-in is not a sales call — it is a documented review of whether the program is performing as specified.

Ongoing: Consistent Crew, Direct Contact

After the 30-day check-in, the program runs on the agreed schedule. The same crew handles the same building on the same nights. When substitutions happen — illness, emergencies — the incoming crew member receives the scope document before arrival. You have a direct contact number for issues, not a call center queue. Scope changes go through you and are documented in writing.
